Google’s Latest AI Update Could Change How We Work Across Gmail, Docs and Drive

Google is pushing its AI ambitions further with a major update to Gemini across Google Workspace, giving the AI assistant a more active role in completing tasks across multiple apps.

The company’s latest update introduces new agentic AI capabilities that allow Gemini to work across Gmail, Drive, Docs, Slides and Chat. Instead of simply generating an answer to a prompt, Gemini can now connect information from different Workspace applications and help complete more complex, multi-step tasks.

Gemini Is Becoming More Than a Chatbot

Google describes the new experience as an intelligent orchestrator. Users can give Gemini a task while working inside Workspace, and the AI can use relevant information from connected files, emails and conversations to help produce the requested result.

For example, a user could ask Gemini to gather information from emails and Drive files, turn that information into a formatted document, create structured spreadsheet content or prepare presentation slides.

The goal is to reduce the constant switching between different applications that traditionally happens when completing complicated work.

Cross-App AI Could Be the Biggest Change

The important part of Google's update isn't simply that Gemini can write text or summarize information. The bigger change is its ability to connect different pieces of information across Workspace.

A project manager, for example, could potentially use information from Gmail conversations, documents stored in Drive and existing project files to prepare a report or presentation without manually copying everything between applications.

Google says Gemini uses Workspace Intelligence and deeper integrations to connect relevant context from files, emails and chats, depending on which sources users select or administrators allow.

Google Is Also Expanding AI Features Across Its Ecosystem

The Workspace announcement comes as Google continues to rapidly expand its AI ecosystem.

Earlier this month, Google introduced agentic video understanding for Gemini models. The technology allows Gemini to dynamically inspect different parts of a video rather than processing every frame at a fixed rate. Google says the approach can reduce token consumption by up to 88%, lower costs by up to 66%, and improve accuracy by up to 7% in its benchmarks.

Google has also introduced WeatherNext 3, an AI weather model designed to provide higher-resolution forecasts using real-time satellite data. The model is being integrated into products including Google Search, Gemini and Maps.

What This Means for Users

Google's latest developments suggest that the company's AI strategy is moving beyond traditional chatbot experiences.

Instead of asking AI a question and receiving a response, users are increasingly being given AI systems that can understand context, work across applications and perform multiple steps toward a goal.

For everyday users, this could eventually mean less time spent searching through emails, copying information between apps and manually preparing documents or presentations.

For businesses, the technology could have an even bigger impact by automating repetitive workflows while keeping employees inside the Google Workspace ecosystem.

The Bigger AI Race

Google's latest updates show how quickly the AI industry is moving toward agentic AI—systems designed not only to generate content but also to take actions and complete tasks.

With Gemini becoming increasingly integrated into Google's massive ecosystem of Search, Workspace, Android, YouTube, Maps and Cloud, the company is positioning its AI assistant as a layer that can work across many aspects of a user's digital life.

The next major question will be how much control users give these AI systems—and how reliably they can complete complicated tasks without human intervention.

Google's latest AI push makes one thing clear: the future of AI may be less about asking a chatbot questions and more about giving an AI assistant a task and letting it get the work done.
